1. Introduction

Klonr ("we", "us", "our") operates the klonr.app website and related services. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

Cookies and analytics

We use analytics tools (PostHog, Google Analytics) to understand how our website is used. These tools only place cookies or persistent identifiers on your device after you accept them in our cookie banner. Until then — or if you refuse — analytics run in a cookieless mode: nothing is stored on your device and visits are not linked across sessions. Strictly necessary cookies (your login session and your cookie preference itself) do not require consent and are always active.

You can change your choice at any time via the "Cookie policy" link in the footer. Your preference is kept for 12 months.

Privacy officer

David Crocq, founder, is the person responsible for the protection of personal information at Klonr (responsable de la protection des renseignements personnels under Quebec's Law 25). For any question, request, or complaint about your personal information, write to [email protected]

We respond to access, correction, and deletion requests within 30 days.

Where your data lives (cross-border disclosure)

Klonr is based in Montreal, and some of your personal information is processed outside Quebec by the service providers that run parts of our infrastructure. Hosting and databases run on Railway in the United States. Text messages transit through Twilio (US). Email sending and receiving runs through Postmark (US). Payments are processed by Stripe (US); card numbers never reach our servers. AI processing of the messages and emails you send us is performed by Anthropic and OpenAI (US). Images you send are stored with Cloudflare (US/global). Consented analytics are processed by PostHog on servers in the European Union.

Each of these providers is bound by contractual data-protection commitments, and the information transferred is limited to what the specific function requires. We assessed these transfers in a privacy impact assessment, as Law 25 requires, and we do not sell or rent personal information to anyone, in any jurisdiction.

Automated processing and your right to a human

Klonr uses AI models to read what you send it, extract dates and tasks, and draft replies. Two design rules keep you in charge. First, any message leaving your household (an email to a teacher, for example) requires your explicit approval before it is sent; the assistant cannot contact third parties on its own. Second, you can always ask for a human review of anything the assistant did: write to [email protected] and the founder, not a bot, will look at it within 30 days.

2. SMS and Mobile Messaging

When you provide your mobile phone number to Klonr and consent to receive SMS messages, the following applies:

  • Klonr does not share, sell, or rent mobile opt-in data, phone numbers, or SMS consent information with third parties or affiliates for marketing or promotional purposes. Mobile information is shared only with subprocessors that help Klonr deliver the service (such as our SMS provider), and only for the purpose of operating the service you signed up for.
  • Message frequency varies based on your account activity, the features you use, and the messages you choose to forward to your assistant.
  • Message and data rates may apply. Standard carrier charges from your mobile provider may be incurred for incoming and outgoing SMS messages.
  • You can opt out at any time by replying STOP, CANCEL, END, QUIT, or UNSUBSCRIBE to any Klonr SMS message. After opting out, you will receive a single confirmation message and no further messages will be sent.
  • You can request help by replying HELP to any Klonr SMS message, or by emailing [email protected].
  • Klonr collects, stores, and processes the content of messages you send to or receive from your assistant solely to provide the service. Message content is not used for advertising, is not sold, and is not shared with third parties for marketing.

3. Information We Collect

Information you provide directly

  • Account information (name, email address)
  • Messages you send to Klonr (via email forwarding, SMS, WhatsApp, or Telegram)
  • Calendar data you connect (Google Calendar, Outlook Calendar)
  • Billing information (processed by Stripe — we never store card numbers)
  • Preferences and settings you configure in the dashboard

Information collected automatically

  • Usage data (pages visited, features used, timestamps)
  • Device and browser information
  • IP address
  • Cookies and similar tracking technologies

4. How We Use Your Information

  • To provide and operate the Service (processing forwarded emails, extracting actions, managing your calendar and tasks)
  • To send you transactional communications (magic link sign-in, action confirmations, approval requests)
  • To process payments and manage your subscription
  • To improve and personalize the Service
  • To comply with legal obligations

5. AI Processing

Your forwarded emails and messages are processed by third-party AI models (Anthropic Claude) to extract actions and generate responses. We send only the content necessary for processing. AI providers are contractually prohibited from using your data to train their models.

6. Data Sharing

We do not sell your personal information. We share data only with:

  • Service providers who help us operate (Anthropic, Postmark, Twilio, Stripe, Google, Railway) — under strict data processing agreements
  • Law enforcement when required by law

7. Data Retention

  • Account data: retained while your account is active, deleted within 30 days of account deletion
  • Message content: retained for 90 days for service delivery, then permanently deleted
  • Billing records: retained as required by tax and financial regulations

8. Data Security

We implement industry-standard security measures including encryption in transit (TLS) and at rest, access controls, and regular security audits. PII is handled according to our internal security policy — we log identifiers, not content.

9. Your Rights

You have the right to:

  • Access your personal data
  • Correct inaccurate data
  • Delete your account and associated data
  • Export your data
  • Opt out of non-essential communications

10. Cookies

We use essential cookies for authentication and session management. We use analytics cookies only with your consent. You can manage cookie preferences in your browser settings.

11. Children's Privacy

Klonr is not intended for users under 16. We do not knowingly collect data from children.

12. Changes to This Policy

We may update this policy from time to time. We will notify you of material changes via email or in-app notification.

13. Account Deletion

You may request permanent deletion of your Klonr account at any time. To initiate a deletion request, visit our contact form and select "Account deletion request" as the subject. We will acknowledge and begin processing your deletion request within 7 business days. Final deletion of all account data may take up to 30 days (consistent with the retention schedule in Section 7), and we will send a confirmation email when the deletion process is complete.

Deletion is irreversible. Once the deletion process is complete, all data associated with your account is permanently removed, including your profile, subscription history, messages, extracted actions, calendar connections, assistant memories, and any other stored data.
